What If a Wedding Guest Hasn't RSVP'd? Here's What to Do
What If a Wedding Guest Hasn't RSVP'd? Here's What to Do
You've sent your beautiful wedding invitations. You've chosen your wedding stationery, carefully addressed every envelope, popped them in the post and waited...
And then the RSVP deadline arrives.
And there's one person who hasn't replied.
Or two.
Or, somehow, twenty.
If you're currently staring at your guest list wondering whether to chase people, you're definitely not alone. Waiting for wedding RSVPs is one of those little wedding-planning jobs that sounds simple until you're actually doing it.
And unfortunately, guests don't always realise quite how much their RSVP affects everything behind the scenes — from the wedding table plan and place cards to catering, dietary requirements and the final stationery numbers.
So, what do you actually do when a wedding guest hasn't RSVP'd?
First things first: don't panic
Before you start assuming they've forgotten about your wedding entirely, give them a little time.
People lose invitations, forget to reply, think they've already replied when they haven't, or simply don't realise that their response is needed by a particular date.
Your RSVP deadline is there for a reason, so it's completely reasonable to wait until that date has passed before chasing anyone.
I'd also recommend keeping a list of who has replied as your RSVPs come in. This makes it much easier to see exactly who you're waiting for rather than having to remember everything in your head.
And trust me — future you will thank you for this when you're trying to create your wedding table plan!
How long should you wait after the RSVP deadline?
Once your RSVP deadline has passed, I'd give it a few days before chasing anyone.
There's no need to message someone the morning after the deadline with:
"HELLO?! ARE YOU COMING?!
Although you might feel like it.
Instead, give people a small grace period and then start following up.
If you're working with a wedding stationer, it's also worth remembering that your final guest numbers can affect more than just the caterer.
Your numbers can feed into:
Your wedding table plan
Place cards
Menu quantities
Table numbers
Personalised wedding stationery
Wedding favours
Ceremony stationery
On-the-day stationery
Seating arrangements
This is why getting those final RSVPs in is so important.
So... how do you chase a wedding RSVP?
The easiest way is to keep it friendly and assume they've simply forgotten.
You don't need to make it awkward.
A simple message like:
"Hi! Just checking whether you managed to see our wedding invitation. We're finalising numbers and noticed we haven't received your RSVP yet. We'd love to know whether you'll be able to join us! x"
is absolutely enough.
You could also mention the original RSVP deadline if necessary:
"We're just finalising our wedding numbers and noticed we haven't received your RSVP yet. Our deadline has now passed, so we just wanted to check whether you're able to join us. We'd love to have you there!"
Keep it warm. You're asking them to attend your wedding, after all!
What if they still don't reply?
This is where things can become a little more frustrating.
If you've sent a reminder and still haven't heard anything, it's perfectly reasonable to contact them again — particularly if you're getting close to giving your final numbers to your venue or caterer.
At this point, I'd be much more direct:
"Hi! We're just finalising our wedding numbers and still haven't heard whether you'll be joining us. Could you please let us know by [date]? If we don't hear from you, we'll assume you're unable to attend. Thank you! x"
This gives them a clear deadline and, importantly, gives you a point at which you can stop waiting.
What if someone says they're coming after you've already finalised everything?
Ah, the classic.
You've finished the table plan. You've sent the final numbers. You've ordered the place cards. You've labelled everything.
And then someone messages:
"Actually... yes! We'll be there!"
It happens.
If your venue and caterer can accommodate the change, brilliant. But don't feel guilty if you genuinely can't change everything at the last minute.
This is one of the reasons I'd always recommend keeping your wedding stationer informed of your final numbers and any changes as early as possible.
Personalised wedding stationery takes time to create, print and prepare. Something as simple as adding one extra guest can sometimes mean changing a table plan, reprinting a place card or adjusting a table layout.
Don't forget about dietary requirements
An RSVP isn't just about knowing whether someone is coming.
It's also about finding out the important information your suppliers need.
When you're chasing a missing RSVP, make sure you're also confirming:
Whether they're attending
Their meal choice, if applicable
Any dietary requirements
Allergies
Accessibility requirements
Children's meals, if relevant
Plus-one details, if applicable
This information becomes particularly important when you're putting together your wedding seating plan and on-the-day stationery.
And then comes the wedding table plan...
Once you've finally got those RSVPs in, the next puzzle begins. Where is everyone actually going to sit?
Your wedding table plan needs to work for your guest numbers, your venue layout and — let's be honest — your family dynamics!
This is where I always recommend thinking about the people behind the names rather than simply trying to make the numbers work.
Who will get on? Who already knows each other? Who will happily chat to someone they've never met?
Are there any family dynamics you need to consider? And are your loudest, biggest personalities spread around the room rather than all sitting together?
Your table plan isn't just a list of names. It's part of creating the atmosphere of your wedding breakfast.
A little tip from your wedding stationer...
One thing I always recommend is not leaving your wedding stationery until the last possible minute.
Once your RSVPs start coming in, there can be a surprising amount of information to organise.
Your final guest list can affect your:
Table plan → Place cards → Menus → Table numbers → Personalised stationery → Seating arrangements
Giving yourself — and your stationer — a little breathing room makes the whole process much less stressful.
And if you're having bespoke wedding stationery, this is particularly important because your stationery is being created specifically around your wedding rather than pulled from an off-the-shelf template.
What if someone doesn't RSVP at all?
Ultimately, you have to make a decision.
If you've given them the invitation, allowed plenty of time, sent a reminder and given them a final deadline, you've done your part.
You don't need to spend weeks chasing someone who hasn't responded.
For your own sanity, set a final date and stick to it.
If they don't respond, you can reasonably assume they're not attending and continue planning with the guests who have confirmed.
It might feel uncomfortable, but remember: you can't finalise a wedding around people who haven't told you whether they're coming.
Your wedding stationery should make this easier — not harder
One of the lovely things about working with a wedding stationer is that your stationery can be designed around the way you actually want your wedding to work.
From your initial save the dates and wedding invitations through to your RSVP cards, menus, place cards and wedding table plan, everything can work together as one beautiful stationery suite.
And if you're planning a wedding in the Cotswolds, your stationery can be much more than something guests simply receive in the post.
Your venue, florals, colours, pets, flowers and all those little details that make your wedding yours can be brought into your bespoke wedding stationery and on-the-day wedding stationery.
Because yes, your guests need to know where they're sitting...
But your stationery can also help tell the story of your day.
Final thought
If you're currently waiting for a handful of wedding RSVPs, take a breath.
They're probably not deliberately ignoring you. They're probably just one of those people who has put the invitation somewhere "safe" and completely forgotten about it!
Give them a gentle nudge, set yourself a final deadline and then move on.
There are plenty of other things to think about when planning your wedding.
And once those RSVPs are finally in?
That's when the fun part begins — creating the wedding table plan, place cards and beautiful on-the-day stationery that brings everything together.
If you're looking for a Cotswold wedding stationer to create personalised, hand-drawn wedding stationery for your day, I'd love to help bring those little details to life.
